Health & Safety – COVID Related Guidance

We are very grateful and excited to be able to host the 2022 Mid-Atlantic Regional Retreat in-person this Memorial Day Weekend. The pandemic has brought some complexities and challenges for us to come together in-person. After consulting with multiple medical professionals, we’ve come up with some rules and guidelines for those who will be attending in person. Please be sure to review the guidance thoroughly and reach out to the Regional Team if you have any questions or concerns.

Please note that we will also continue to regularly monitor pandemic updates and CDC guidance leading up to the retreat and update our guidelines and plans accordingly.

If you or any of your family members experience ANY of the following symptoms in the last one week prior to attending the retreat, please do not attend the retreat for your own safety and for the safety of all the attendees:

  • Fever or chills
  • Cough
  • Shortness of breath or difficulty breathing
  • Fatigue
  • Headache
  • Sore throat
  • Congestion or runny nose
  • Nausea or vomiting
  • Diarrhea
  • Do I have to be fully vaccinated to be able to attend the retreat in-person?

The retreat is open to everyone regardless of vaccination status. There will be additional asks of those who are not fully vaccinated. Please see the questions below for those details.

  • What if I am not fully vaccinated?

We will be requesting those who are not fully vaccinated to provide results of an RT-PCR or Antigen COVID-19 TEST taken from a lab within 72 hours prior to your arrival at the retreat. Home test-kits are not a substitute for this. There are numerous locations that perform these tests free of cost. Please reach out to the team if you would like help in identifying locations where you can get tested. Note: Unvaccinated children under 5 DO NOT NEED to take an RT PCR or ANTIGEN lab test. We also recommend that parents consider not sending children under 5 to daycare during the week of the retreat (May 23rd to May 27th).

  • What about children who are not-eligible for the vaccine as yet?

The same guidance as listed above, i.e. providing results of an RT-PCR or Antigen COVID-19 TEST taken from a lab within 72 hours prior to your arrival at the retreat. Note: Unvaccinated children under 5 DO NOT NEED to take an RT PCR or ANTIGEN lab test. We also recommend that parents consider not sending children under 5 to daycare during the week of the retreat (May 23rd to May 27th).

  • How will I provide proof of vaccination or the test results?

Our registration team will be in touch with those who register online to get confirmation of the your vaccination status and will follow up to confirm that attendees who are not vaccinated submit their RT-PCR/Antigen lab test results as well. You can also provide your RT-PCR/Antigen lab test results upon arrival at the campsite.

  • What precautions will be taken at the campsite?

There are several precautions that will be taken at the campsite.

    • The campsite is very spacious and can accommodate over 800 devotees for onsite stay. However, we will cap registration at 500 to enable us to implement safety measures
    • All attendees will be required to wear masks at all times at the retreat
    • We will check temperature upon arrival at the retreat
    • We will have hand-sanitizer stations set up across the campsite at various locations
    • We will be practicing distancing while seating in the Devotion Hall
    • Meal-times will be done in batches to reduce numbers in the Dining hall. If weather permits, we will have outdoor dining
    • Reduced occupancy in each of the cabins

In addition, Camp Westmont is a 400-acre facility located in the Pocono Mountains in a serene and secluded setting. The campsite allows us to spread out and also implement safety measures. The campsite is not a thoroughfare location and will only be used by our group during the retreat. Each year, the venue is opened for the season during Memorial Day weekend and we will be the first group to use the premises. Camp management has also made significant investments to ensure safety. They installed air purifiers and filters in large capacity rooms. They doubled the outdoor seating capacity. They installed plexiglass shields in the serving area. Their staff are fully vaccinated and are required to wear masks indoors.

  • What if I am not planning to stay at the campsite?

We understand that some of you may be staying off-campsite or might be traveling in just for a day. However, the guidelines above will still apply

  • What if I don’t register ahead of time and walk-in register directly to the retreat?

We encourage all attendees to register for the retreat even if they are planning to come for a day to help with planning. We will accommodate on-site registrations and would be very happy to see you at the retreat, however, we may not be able to guarantee overnight camp stay option. Please know that the guidelines above still apply and you will have to bring your proof of vaccination or RT-PCR/Antigen lab test results with you when you come

  • I would like to attend the retreat but am nervous about sharing a cabin with others. Are there any options?

We will limit cabin occupancy in shared cabins for safety reasons. However, for those with health or other concerns, you can include the details on the registration form. Our registration team will try to accommodate as many special requests as possible.
